How Far in Advance Should You Book Your Wedding Venue in Alabama?

The short answer is 14 to 18 months before your wedding date, and honestly, for popular months, even earlier than that!!

We want to be really upfront about why we are writing this post. As of this fall, our 2027 wedding calendar at The PHNX is completely booked. Every Saturday. All of it. And 2028 dates are already starting to go. We are so grateful we can hardly stand it, but it also means we are having a hard conversation with couples almost every week now. They found us, they toured, they loved the space, and the date they wanted was already gone!!

So instead of letting more couples find that out the hard way, we wanted to lay out exactly how venue booking timelines actually work so you can plan around reality instead of guessing!!

Why Venues Book So Far Out

The venue is almost always the first thing couples book, and for good reason. Every other decision flows from it. Your date is not real until a venue is holding it. Your photographer, your caterer, your florist, none of them can be booked until you know where and when!!

That means venue calendars fill on a completely different timeline than everything else in wedding planning. A florist can serve multiple weddings in one weekend. A venue has exactly one Saturday per week to give, and once it is gone it is gone forever. There is no overtime, no second shift, no making more Saturdays!!

The Engagement Season Effect

Here is the part most couples do not realize until they are living it. Nearly 40 percent of engagements happen between Thanksgiving and Valentine's Day. That means every January and February, a massive wave of newly engaged couples starts touring venues at the same time, all shopping the same popular months, usually the following spring and fall!!

If you get engaged this December and want an October wedding, you are competing with every other couple who got engaged this winter for a very small number of October Saturdays. The couples who tour in January get first pick. The couples who wait until summer to start looking often find themselves choosing between a date they did not want or a year they did not plan on!!

The Real Timeline We Recommend

If you want real choice in your date, start touring venues within the first month or two of your engagement and plan to book 14 to 18 months out. If your heart is set on a specific month, especially April, May, September, October, or November, treat 18 months as your target, not your ceiling!!

If your timeline is shorter than that, do not panic!! Sunday weddings open up beautiful possibilities on a shorter runway, and micro weddings with smaller guest counts have more date flexibility too. We will always be honest with you about what is actually available instead of making you dig for it!!

Where The PHNX Calendar Stands Right Now

Transparency is kind of our whole thing, so here it is plainly. 2027 Saturdays are fully booked for weddings. 2028 is open and already filling, with early dates moving first. Our 2027 wedding rates are holding at $3,400 for 8 hours and $3,700 for 10 hours, both including cleaning, for up to 125 guests with a full room flip from ceremony to reception!!

We do not do peak season upcharges on weddings. The rate is the rate, whatever month you choose. We think couples deserve to plan around a real number!!

What to Do Next

If you are engaged, or about to be, and 2028 is your year, now is genuinely the right time to tour. Not because we want to rush you, but because the calendar does not negotiate and we would so much rather you have your first choice of dates!!

Tours are by appointment and we would love to show you around. Reach out at events@phnxtrussville.com or call us at (205) 634-1310, or book a tour at thephnxcollective.com!!
